Accounts and Office Manager, Part-time

Farnham, Surrey

Salary: £25,000 - £30,000 pro rata


An AAT qualified accounting professional capable of providing an efficient support function to the business.  This role is responsible for all day to day bookkeeping and office management co-ordination and will report directly to the HR Manager.

Qualities Required:

Must be flexible and prepared to take on increasing responsibility and special projects as the business expands. Must be ‘hands on’ and self-standing. Able to work to deadlines, organise own workload and have the ability to review and implement new processes and procedures.  Strong communication skills, written and oral, and attention to detail are essential.

Management/Business Support

Ensure that appropriate processes are in place to exercise financial control on all tbbr projects, through:

  • Maintaining an up to date overview of our project/job list
  • Supporting the account team to establish cost and budgetary controls for each project
  • Liaising with the account team to ensure sales invoices are produced in a complete accurate and timely manner
  • Reviewing profitability of each project and account on a regular basis and advise MD accordingly. Producing a job profitability report.
  • Support in the implementation of any finance related business improvements
  • Assist in the production of the quarterly business review report pack
  • Prepare monthly management accounts and monitor business performance against Budget
  • Look for ways to improve overall profitability and cash generation of business
  • Assist MD, Account Management and Business Development team in preparing quotations and tenders for new and renewing contracts
  • For major projects ensure contract is in place before major cost is borne by theblueballroom
  • Provide support for company accountants to enable them to annually review business and company tax affairs
  • Carry out ad hoc business management tasks to allow MD to concentrate on revenue generation and business expansion

Financial Accounting / Book-keeping

  • Enter all purchase invoices into Quickbooks and ensure timely payment of suppliers
  • Use the Harvest time recording system to produce job profitability model, ensuring efficient control of each project
  • Raise sales invoices and ensure timely receipt of payments
  • Preparation of year end accounts for review and submission by external accountants
  • Provide assistance to external accountants in preparation of taxation documentation, P11D’s and PSA returns
  • Process monthly journals including accruals and pre-payments
  • Produce and submit quarterly VAT returns and EC sales returns


  • Liaise with the payroll bureau to ensure that payroll information is made available in accordance with the timetables for payroll processing
  • In liaison with the payroll bureau manage all payroll payments including salaries, tax, NI and childcare vouchers

Bank Account and Cash Management

  • Monitor cash flow forecast
  • Manage bank accounts in the UK and Germany to ensure positive cashflow, arranging transfers between accounts as necessary
  • Ensure all bank transactions are entered in to and reconciled in accounting software
  • Manage petty cash account (in £ and foreign currency) ensuring that cash is available for staff travel requirements and properly accounted for
  • Manage input and reconcile bank credit card and foreign exchange cash card transactions


  • Act as Company Secretary for theblueballroom Limited ensuring theblueballroom has appropriate business insurance and complies with statutory return deadlines
  • Ensure that the company is adhering to required legislative standards in the area of Employer Employee Liability


  • Manage the process of application and adherence to the ISO 9001:2015 standards and the transaction
  • Ensure all projects have appropriate contracts/T&C’s in place
  • Review and put in place appropriate internal controls
